Today, the General Services Administration released a major practical guide aimed at helping federal leaders navigate a rapidly changing operational landscape.
With significant reductions in force across the federal government over the last year, agencies are facing a critical challenge: How do you maintain operational integrity with fewer human resources?
The answer isn't to work harder; it's to automate smarter.
As someone who focuses on leveraging IWMS/CMMS and data analytics to optimize facility portfolios, I see three massive takeaways for the physical infrastructure space:
1️⃣ Automation is Key: Manual processes like hand-routing maintenance tickets or physically auditing equipment are the definition of low-value, costly tasks the GSA wants to eliminate. By maximizing IWMS platforms, we can automate service workflows, moving staff away from paperwork and keeping them focused on keeping critical systems running.
2️⃣ Centralized Data: Shifting staff to high-value work requires removing the administrative burden of manual data collection. Building automated pipelines with SQL and Power BI gives leadership immediate, transparent insight into space utilization and lifecycle costs without wasting staff hours on manual spreadsheet tracking.
3️⃣ Stop Reinventing the Wheel: The GSA explicitly highlighted that this handbook captures lessons learned so agencies can reuse and scale, ensuring teams are not starting from scratch each time. In the FM technology space, standardizing configuration playbooks and avoiding overly customized legacy systems will be paramount to fast, cost-effective deployment.
Faced with a mandate to do more with less, facilities leaders must transition from reactive upkeep to lean, automated, data-backed asset management.
